When a Fairmont PCS Member Cannot Accompany the Grocery Shop

For families in Fairmont
For families in Fairmont, North Central West Virginia & Southwestern Pennsylvania: use the resources and practical steps in this guide to plan wanted nonmedical help. Confirm individual requirements and current availability with the responsible provider.
When a West Virginia Personal Care Services member stays home, a shopping task raises a separate question about who may handle the member's money. Do not assume that permission to shop includes permission to take cash, a benefit card or account credentials.
Ask about the member-absent errand
Bring the exact situation to the existing Personal Care nurse: the person will remain at home, groceries are needed, and someone must arrange payment. Review the member guidance and Personal Care policy with the team rather than applying rules from another program or private-care arrangement.
The currently linked PCS Member User Guide, printed effective January 1, 2018, says the direct care worker should not use the member's cash or cards when the member is absent. This is program guidance, not a universal financial law for every private helper. A trusted relative who is also the paid worker is not automatically an exception. Ask the current PC nurse and agency which shopping and payment arrangement is permitted for this member and worker. Keep the member involved in choosing goods and limits. A family's informal permission should not be treated as overriding program or employer restrictions.
Separate purchasing authority from practical help
Identify who can lawfully and appropriately make the payment, who collects the goods and who retains the receipt. A permitted family arrangement might involve different people for those tasks; ask the responsible team to confirm the workable approach.
Do not share passwords or assume that possession of a card establishes authority to use it. Keep any spending record limited to the information needed for the agreed transaction and the person's privacy preferences.
If the original plan cannot be used, arrange another authorized method before sending the worker out. The useful result is groceries obtained through a permitted payment process, not a helper placed in an uncertain financial role because the errand seemed routine.
Discuss ordinary help at home
For separately arranged nonmedical assistance, our Fairmont care team can discuss the person's requested tasks and timing. Contact the local care team to ask about the actual scope, schedule and available staffing.
